Most of the drives that reach our lab share one thing in common: there was no good backup. A little planning now is far cheaper — and far less stressful — than a recovery later. Here's the approach we'd set up for our own families and businesses.
The 3-2-1 backup strategy
The 3-2-1 rule keeps three copies of your data, across two kinds of storage, with one copy offsite. In everyday terms, that means:
- Two physical copies — your working device plus at least one local backup, kept on separate hardware. That's a second external drive, or a NAS — not two folders on the same drive.
- One cloud copy — an offsite copy in a reputable cloud backup service, safe from theft, fire, flood, power surges, and ransomware that can spread across everything plugged in at home.
Each layer does a different job. Your local copy gives you fast recovery for everyday accidents — a deleted file or a dead drive. Your cloud copy protects you when something takes out your whole location at once.
Why one backup isn't enough
A single backup often fails at the same moment as your main drive — the same power surge, the same theft, the same ransomware infection. And two copies on the same disk isn't a backup at all. The whole point is redundancy across different devices and different places.
Choosing your storage
Local (the "two physical copies")
- External hard drive or SSD — the simplest option for a single computer.
- NAS (network-attached storage) — great for a household or office, and can add internal RAID redundancy so a single failed disk doesn't lose the backup.
Offsite (the "one cloud copy")
- A dedicated cloud backup service that runs automatically in the background. Look for versioning, so you can roll back if a file is corrupted or encrypted by ransomware.
Whatever you choose, automate it. The best backup is continuous and hands-off, so you're never relying on remembering to plug something in.
Test your backups
A backup you've never restored from is a guess. Every so often, restore a file or two and confirm it actually opens. It's a two-minute check that tells you your safety net is real.
